Managing Leases on Hangar Direct
Leases are the central record on the operator platform: agreements, e-signatures, rent tracking, and tenant records are all attached to them. This article covers the lease types, how to create and cancel leases, templates and signatures, payment tracking (including rent collected off-platform), and the reporting built around it all.
Lease types
Hangar Direct supports five lease types:
- Transient: short-term stays
- Month-to-Month: ongoing until either side ends it
- Fixed-Term: a defined start and end date
- Pre-Lease Hold: reserving a space before a full lease begins
- Custom: your own imported PDF agreement
Leases can cover a Hangar or Office Space; you pick the Space Category when creating one.
Creating a lease
From your location's Leases page, click Create Lease. It is a single scrolling form with a live document preview alongside. You will pick a Space Category and a Lease Template (organization or location templates, or Custom lease to upload your own PDF, which is read by AI extraction), then fill in the details: Aircraft, Tail Number, Tenant Name/Email, Hangar Requested (or Office No), Start Date, Lease Term (including Custom), End Date, deposit, and price, plus auto-renew and fixed-term options.
Additional details cover an early-termination fee (fixed or percentage), optional clauses, signature settings, and legal terms. Click Preview & Create, review the generated document, then Confirm Lease Creation.
Leases created from a lead or a waitlist entry arrive pre-filled; look for Create Lease on the lead detail or waitlist entry.
Templates, signatures, and e-sign credits
Templates live under Settings → Organization and Settings → Location → Lease Templates. Locations inherit organization templates and can override them. A template carries rates, deposit, late fees, grace period, notice, renewal terms, a legal-terms PDF, clauses, and a Require Signature setting.
Your signature identity (what appears in the Landlord section of agreements) is set under Settings → Organization → Signature; a location can Override for this location. E-signatures consume signature credits. Check usage and Buy Credits ($1 each; your plan includes a monthly allotment) under Settings → Signature Credits.
Importing existing leases
If you already have signed agreements on paper, click Import on the Leases page to open the Import Lease flow: drag and drop a PDF (max 10MB) and AI detects the lease type and extracts roughly 25 fields into the form. Mismatches such as "Aircraft Not Found" or "Hangar Not Found" are flagged for you to fix before clicking Preview & Import.
Backdated leases are fully supported: past start dates get explicit confirmation warnings, pre-platform periods are recorded as not-tracked payments, and a Marked as Fully Paid option records rent that was collected off-platform without generating invoices or late fees.
Assigning, scheduling, and ending leases
Assign Lease opens a drag-and-drop board for assigning leases to hangars, with fit and overlap validation that prevents double-booking a space or placing an aircraft in a hangar it does not fit. The Schedule page is a resource calendar of hangars × leases. Drag a lease to move it; a reason is recorded.
To end a lease early, open the lease detail, use the menu, and choose Cancel Lease (a reason is required). While a lease is winding down, a scheduled-end banner shows on its page. Lease changes are recorded in the lease's change history.
Tracking payments and performance
Rent, deposits, and fees flow into your Payments pages: an Overview with earnings and outstanding balances, a searchable Transactions tab with CSV export, and fee-aware full or partial Refunds. Off-platform rent recorded on imported leases shows as not-tracked, and no invoices are generated for it.
For the bigger picture, Lease Insights breaks down leases created, accepted, signed, and paid (including how many converted from your waitlist and from leads) by location and status mix, over 7-day to 6-month windows. The Leases table itself supports Export to CSV, filtering, and customizable columns.
