- Upload insurance certificates: Tenants upload their current COI directly to the platform. OCR technology automatically extracts policy numbers, coverage types, effective dates, and expiration dates, reducing manual data entry for everyone.
- Upload other required documents: Airworthiness certificates, registration documents, hold-harmless agreements, and any other paperwork your operation requires.
- Update aircraft information: When a tenant changes aircraft, adds a new one, or updates registration details, they can make those changes themselves instead of waiting for your staff to process them.
- Update contact information: Phone numbers, email addresses, and emergency contacts stay current without staff involvement.
- View lease status: Tenants can see their active leases, remaining term, and any action items that need attention.
2 - How OCR Document Processing Works
When a tenant uploads an insurance certificate or other document, Hangar Direct's OCR (optical character recognition) system automatically reads the document and extracts key details:
- Policy number
- Insurance carrier
- Coverage type (liability, hull, etc.)
- Effective and expiration dates
- Additional insured status
This information populates the tenant's compliance record automatically. Your staff no longer needs to manually read certificates and type details into a spreadsheet. If the OCR cannot extract a field, the system flags it for manual review.
3 - Status Indicators for Tenants
Tenants see clear, color-coded status indicators on their portal dashboard for every required document:
- Valid: Document is current and meets requirements.
- Expiring soon: Document will expire within 30 days.
- Expired: Document has lapsed and needs immediate renewal.
- Missing: A required document has not been uploaded yet.
This transparency means tenants know exactly what is needed from them without your team having to explain it. When combined with automated reminders, most tenants resolve compliance gaps on their own before you ever need to follow up.
